A visa has a life of its own. Long after the traveller has paid, someone still has to collect documents, book an appointment, file the application and chase the outcome — which is why the visa desk is its own queue rather than a tab on a booking file.
Open it from Visa Desk in the sidebar. It needs the travel_bookings.visa_desk permission, so you can give it to the person who does this work without handing them the whole booking desk.
The queue
Four views:
- Open — everything still in progress.
- Appointments — applications with an appointment inside the next seven days. This is the view to work from each morning.
- Decided — completed or cancelled.
- All.
Each row shows the booking reference, the traveller, the destination, and how many checklist items are still outstanding.
The checklist
When a traveller books a visa service, the required documents you set on the product become the checklist automatically. Tick items off as they arrive.
A tick records which uploaded file satisfied it, so "received" always points at a real document rather than someone's recollection. Travellers upload from their own trip page; whatever they send appears under Uploaded documents in the same panel.
Passport scans carry an expiry date, which is what drives the automatic warning when a passport is running short of the validity most countries demand.
Moving an application forward
Set the country, visa type, application number, and the appointment, submission and decision dates as they happen. Record the outcome when it comes.
The traveller is emailed when the application genuinely moves — an outcome, an appointment, or a status change. Tidying up a typo or ticking a checklist box sends nothing.
